Citywire organises events at which fund managers are invited to present to a selection of delegates (selected by Citywire) who are either investors or advisers (Events). The Events are sponsored. The General Data Protection Regulation (GDPR) which came into effect on the 25th May 2018 affects how we collect and process personal information. Some sponsors have asked what measures we have put in place to ensure that we are compliant with GDPR. Having taken professional advice, we have conducted a thorough review of all process and policies relating to the Events to ensure that these are organised and run in a GDPR-compliant way. Citywire Events exist to connect delegates with sponsors, and we are transparent about this at all stages. The key points are listed below. 1. Collecting Information from Delegates Delegates register for the Events using an online service, where they provide professional information required for us to assess their suitability for a given Event, and personal information required for us to manage the logistics of their attendance. In certain circumstances, we also ask Event attendees to provide further information such as their dietary requirements and any special needs or requirements in accordance with the Discrimination Act 2010. Where we collect and use such sensitive information, we ensure that we do so in accordance with the requirements of the GDPR and that we put in place appropriate safeguards to protect such information. During an Event we ask delegates questions relevant to their profession and the content of the Event. We collect this information via a downloadable App on delegates’ phones. We may have photographers and/or videographers present at the Events and publish carefully selected images, videos, and/or recordings on our websites and in our magazines. Citywire is the data controller in relation to its collection and use of personal information in relation to its promotion, organisation, and holding of its events, running surveys for Citywire’s own purposes, and sharing information with Event sponsors (as set out in more detail below). All personal information which is subject to the above listed activities is collected and used by Citywire in line with the following privacy policies, which have been reviewed in line with GDPR. English: http://citywire.co.uk/privacy German: http://citywire.de/privacy Italian: http://citywire.it/privacy French: http://citywire.fr/privacy Spanish: http://citywire.es/privacy In limited circumstances (including those discussed in more detail in section 3 below), Citywire will also act as an Event sponsor’s data processor. In those situations, the agreement between Citywire and the sponsor will set out Citywire’s data protection obligations, as required by the GDPR. 2. Sharing Information with Data Processors We share personal information of delegates with data processors such as hotels and travel companies and providers of audio-visual services only when required to do so in order to deliver the logistics of the Event – we consider this a legitimate interest of both the delegates, sponsors, and Citywire (and we may also be contractually obliged by our arrangements with delegates to share the information in this way). We only engage carefully selected and trusted data processors and we ensure that we have appropriate agreements in place with those third parties, as required by the GDPR. 3. Sharing Information with Sponsors Citywire shares the following information with sponsors: Digital Delegate Details booklets which contain delegate’s names, a short biography, job title, company name and photographs (but no contact details) are shared with sponsors ahead of the Event to allow sponsors to prepare for it. Delegates are informed about this in our terms of entry for the relevant Event and we ensure that we disclose the identity of such sponsors to the delegates in advance. Printed and Digital Show Guides are shared with sponsors and delegates during the Event. These are similar to the Delegate Details booklets and contain the delegate’s names, a short biography and photographs. Delegate email addresses and contact details are not shared. Again, delegates are informed about this in our terms of entry for the relevant Event and we ensure that we disclose the identity of such sponsors to the delegates in advance. Full Delegate Lists, without email address or contact details, are shared with sponsors before and during the Events for the purpose of matching sponsor and delegate agendas. Again, delegates are informed about this in our terms of entry for the relevant Event and we ensure that we disclose the identity of such sponsors to the delegates in advance. Matched Delegate Lists, which lists the delegates which individual sponsors are due to meet in workshops and at meals (with table plans) are shared with sponsors 1 week before the event. After the event, a full delegate list and a breakdown of who attended their workshops and meals is shared for the purpose of a single follow up email to promote their products and services after the Event. Sponsors are contractually bound not to exceed this limited use of delegate email addresses (clearly if the delegate responds to such emails, then the sponsor takes responsibility for ongoing contact with such delegate). Again, delegates are informed about this in our terms of entry for the relevant Event and we ensure that we disclose the identity of such sponsors to the delegates in advance. Collected Surveys and Feedback. We sometimes run surveys at the Events on behalf of the Event sponsors. If this is the case, we inform Event attendees about this fact and the identity of the relevant sponsor, and give attendees the right to object to Citywire’s sharing of their personal information with that sponsor. When we conduct surveys for our own purposes (such as to study how our services are used and obtain feedback on our Events), aggregated and anonymised analysis of surveys and feedback collected during the Event is not only used for our own purposes (as noted in section 6 below) but may be also shared with Event sponsors. We share the above information on the basis of our performance of contract with the sponsors and delegates as well as on the basis of our legitimate interests to organise the Events and on the basis of the delegates’ and sponsors’ legitimate interests to find out who will be attending a given Event and to reconnect with the attendees they have met at one of our Events. In situations when we run surveys on behalf of Event sponsors, we act as their data processors and ensure that we comply with our obligations set out in the agreement between Citywire and the relevant sponsor. 4. Independent Sponsor & Delegate Information Exchange Sponsors may collect delegate contact details directly and independently of Citywire at the Events. This is typically achieved by an exchange of business cards. Sponsors and delegates who share information in this way are both expected to use any such information in accordance with the requirements of the GDPR, although Citywire assumes no responsibility in this respect. Sponsors will be the data controllers in relation to their use of such information. 5. Sharing Information with Potential Sponsors We may share aggregated and anonymised professional information with potential sponsors, along with show guides from previous Events. Apart from the personal information already contained in the show guides (such as past delegates’ names, short biographies and photographs) we do not disclose any other personal information (in particular contact details) to potential sponsors. 6. Citywire Internal Research Citywire also uses all information collected as part of the organisation and running of the Events in an aggregated and anonymised form for the purpose of improving future Events and developing new products and services. 7. Right to Object As noted in the sections above, we rely on the ‘legitimate interests’ and ‘performance of contract’ bases as our lawful bases for collecting and using personal information for purposes connected with organising and running the Events. As such, whilst we do not ask attendees for their consent to Citywire’s collecting and using their personal data, we always make sure to honour their rights under the GDPR. In particular, as noted in section 3 above, when we run surveys on behalf of Event sponsors we always give attendees the right to object to our sharing of their personal information with such sponsors. Similarly, when our Events are filmed, photographed, and/or recorded, we display sufficiently prominent and clear notices warning the attendees that filming/photographing/recording is taking place and advise them to avoid the designated areas if they do not want to be filmed, photographed, and/or recorded. 8. Data Protection Compliance Citywire’s appointed Data Protection Officer reviews our Event processes and procedures in line with our internal Citywire policies as well as applicable requirements under the GDPR. Where required, we carry out data protection impact assessments and legitimate interest assessments Note to Event Sponsors on the GDPR Clearly, Citywire cannot advise you in relation to your obligations under the relevant regulations and cannot be responsible for actions that may be taken by sponsors and other third parties before Events, during Events and after Events which could increase the risk of an infringement of GDPR. Inducements Citywire events are designed to significantly mitigate the risk of a breach of the Rule of Inducements. The aim of our events is to educate delegates so they better understand the products that can be delivered by providers, therefore ‘enhancing the quality of the service to end customers’. Citywire selects delegates through our audience development team and not on request, eliminating the link between delegates and sponsors. Citywire also pays all up-front costs, booking hospitality and planning the event independently of sponsors who therefore do not influence decisions relating to delegate hospitality. Multiple sponsors contribute to the cost of the event, enhancing its educational value. UK events also qualify for CPD. Citywire considers that the hospitality at our events is not extravagant. Sponsors are not permitted to provide extravagant gifts to delegates and overnight accommodation is only paid for by Citywire where necessary, while travel expenses (for UK events and non-residential ex-UK events) are met by the delegates themselves.
